By registering and using the SSP (School Subject Picker) system, your institution agrees to the following terms:

1. ✅ All information submitted during registration must be accurate and maintained by an authorized school representative.

2. 🔐 Each registered school is responsible for maintaining the confidentiality and integrity of its login credentials and assigned database.

3. 🏫 Subject and learner data stored in this system are exclusively managed by the registered school. AJ-Marais does not access or repurpose learner data.

4. 📦 All school data is hosted securely on a dedicated Azure-based virtual database. No learner data resides on or is processed through apps.aj-marais.co.za.

5. ⏳ Subject selections are editable only during the assigned time window. After expiry, learner information is securely deleted, while subject picks may be retained for school reporting or administrative reference.

6. 📧 The system may contact the designated school contact via email for updates, alerts, or verification purposes.

7. ⚖️ Each school acts as the POPIA-designated responsible party for its own data and database activities. The school must ensure lawful processing and compliance with South African data protection regulations.

8. ⚠️ AJ-Marais is not liable for data loss, corruption, or misuse. Schools should implement regular backups and internal controls as needed.

9. 🚫 Any misuse of SSP, including unauthorized registrations or access attempts, may result in service suspension and appropriate legal follow-up.

10. ⏱️ SSP databases inactive for 365 consecutive days may be permanently deleted, including all affiliated subject picks, archives, and school-specific data. No information will be retained after removal.

11. 🔄 Schools may request deregistration from SSP at any time. Deregistration will result in removal from public listings and permanent deletion of all associated data, subject to clause 10.

12. 💳 Certain SSP features, including learner-side subject picking, may require payment prior to execution. Charges are automatically calculated based on the selected usage parameters (e.g., number of learners, active duration). Full pricing details will be presented during activation. All picked data remains under AJ-Marais’s custodianship until payment is received in full.

13. 🛡️ SSP is a proprietary system developed and owned by AJ-Marais. Registration grants usage rights only; no part of the system may be copied, modified, or redistributed without written permission.

14. 📜 By activating paid features, your institution enters into a non-exclusive, time-limited license agreement with AJ-Marais. No ownership rights are transferred.

15. ⛔ AJ-Marais reserves the right to suspend or revoke access to SSP in cases of misuse, non-payment, or breach of these terms. No data will be retained after termination unless required by law.

16. 🧰 SSP is provided ''As Is.'' Support services may be offered on a case-by-case basis and are not included by default. No ongoing maintenance or customization is guaranteed unless separately contracted.

17. 📊 AJ-Marais reserves the right to publish registered school names, uploaded school logos, and aggregated usage statistics for transparency, outreach, and system improvement purposes. This listing may appear on SSP’s public website or promotional materials. Logos are displayed solely for identification and branding purposes, and must be uploaded by the school itself. No learner-specific or staff-identifiable data will be disclosed, and all published information will comply with applicable data protection laws.
